What is an online booking system and who needs one?

Short answer

An online booking system lets customers book a service themselves on your website or in an app — choose the service, the specialist and a free time slot, and get a confirmation and a reminder. For the business it replaces phone calls and the booking diary, reduces no-shows and gives an overview of capacity.

Who it’s for

Hairdressers and beauty salons, clinics and doctors, car services, consultants, sports and leisure venues, public institutions — anywhere customers book a time.

What a good booking system does

  • Shows only genuinely free slots, taking into account work schedules and service durations.
  • Sends a confirmation and a reminder (by e-mail or SMS).
  • Lets the customer reschedule or cancel the visit.
  • Takes a prepayment or deposit if needed.
  • Shows staff the day’s schedule, customer history and notes.
  • Can integrate with calendars, the CRM and accounting.

Off-the-shelf or custom

Off-the-shelf booking platforms are good for standard cases. A custom system is needed when the rules are complex: several branches, several services in one visit, resources (rooms, equipment), different time zones. Example: the appointment system we built for the Latvian Ministry of Foreign Affairs finds the nearest time even for several people at once, across different embassies and time zones.
