Short answer
You can create an e-invoice in three ways: manually via the Latvija.gov.lv e-address, with accounting or invoicing software that supports e-invoices, or automatically from your ERP or custom system. What matters is that the e-invoice complies with the EN 16931 standard and is sent through a channel the recipient accepts.
1. Manually on the state portal
Suitable if you issue few invoices. See how to send an e-invoice via Latvija.gov.lv.
2. With accounting or invoicing software
Many accounting programs already offer e-invoicing. Check whether yours:
- creates XML according to EN 16931 / Peppol BIS Billing 3.0;
- can send an e-invoice through a channel (a Peppol access point, the e-address or another);
- can also receive and book e-invoices.
3. Automatically from your system
If invoices are issued by an ERP, an online store or a custom system, an e-invoicing module is added to it: the invoice is created in XML, checked with a validator and sent automatically. This pays off when you issue many invoices.
What to check before sending
- The buyer’s details and registration number.
- Amounts and VAT calculations.
- Mandatory fields and the document type.
- Whether the recipient can receive e-invoices through the chosen channel.
