Automation

How to automate invoices, receipts, e-mails, orders and reports — and where to start so that automation pays off.

What is…?

  • What is business process automation?

Business process automation means that repetitive work — data entry, document processing, approvals, reports — is done by software, and people step in only where a decision is needed. Today automation is increasingly combined with artificial intelligence that understands text and documents.

  • What is OCR and how does it help with documents?

OCR (optical character recognition) is recognising text in an image or scanned document — it turns an image into text a computer can process. Today OCR is combined with AI, which not only reads the text but understands where the amount, date and supplier are, even if every invoice has a different layout.

  • What is RPA, or software robots?

RPA (robotic process automation) means software "robots" that imitate a person’s actions on a computer — clicking, copying and entering data into programs through their user interface. RPA helps when a system has no API, but it is fragile: when a screen changes, the robot can break.

How to…?

  • How to automate customer request handling?

All requests — from e-mail, website forms and chat — are collected in one place; AI sorts them by topic and urgency, drafts a reply and creates a task in the CRM for the responsible employee. AI can answer typical questions straight away and hands the complex ones to a person.

  • How to automate document approvals?

The approval chain — who approves, in what order and by which rules — is set up in the system. The document automatically moves to the next approver, who gets a notification and approves with one click, and everything is kept in the history. Nobody has to hunt for "where the invoice got stuck" any more.

  • How to automate e-mail processing?

AI reads incoming e-mails, determines their topic and urgency, extracts the key data (order number, amount, customer) and passes them to the right person or system. For typical questions it prepares a draft reply, which an employee only checks and sends.

  • How to automate invoice processing?

Incoming invoices are collected automatically from e-mail or an e-invoicing channel, the data (supplier, amount, VAT, dates) is read from the e-invoice XML or with AI, the system matches it against orders and enters it into accounting. A person checks only the invoices that don’t meet the rules.

  • How to automate manufacturing?

Manufacturing automation isn’t just robots. In small and medium businesses the biggest gain is often digital production planning, materials and inventory tracking, work task tracking and data from machines (IoT sensors) that shows downtime and scrap in real time.

  • How to automate order processing?

An order from the online store, e-mail or a dealer portal enters the system automatically, reserves stock in the warehouse, creates the invoice and delivery note and keeps the customer informed of its status. A person steps in only if stock is short, the price is non-standard or approval is needed.

  • How to automate receipt and expense processing?

An employee photographs a receipt with their phone or forwards it by e-mail; AI reads the merchant, amount, VAT and date, suggests an expense category and links it to a project or employee. After approval the data goes into accounting automatically, and nobody has to collect paper receipts in envelopes any more.

  • How to automate reports and dashboards?

Reports are automated by connecting the data sources (accounting, CRM, warehouse, online store) to a single report that updates itself. The manager gets a dashboard or an e-mail every morning, and nobody copies data into Excel spreadsheets any more. AI can add a short summary of what matters most.

  • How to automate work with Excel spreadsheets?

Simple repetitive tasks in Excel can be automated with formulas, Power Query and macros. But if several people work in the spreadsheet, data is copied in from other programs or the spreadsheet has become a "system", in the long run it pays to move to a database or a custom system with an automatic data flow.

  • How to calculate whether automation pays off?

Add up how many hours a month the process takes today, multiply by the cost of a working hour and add the cost of errors and delays. Compare this with the cost of developing and maintaining the solution. Payback period = investment ÷ monthly savings.

  • Where to start with business process automation?

Start with one process that happens often, takes a lot of time and follows clear rules — for example, entering invoices or sorting requests. Describe how it works today, estimate the savings and automate it first. The experience from the first process lays the groundwork for the next ones.

How much…?

  • How much does process automation cost?

The price depends on how complex the process is and how many systems are involved. A simple connection between two programs can take a few working days, while automation with AI, several integrations and a user interface can take several weeks or months. More important than the price is the payback period.

  • Zapier, Make, n8n or a custom solution — which to choose?
